Summary

If you email the same group of people often, this is the guide for you! Follow the instructions below to create a contact group in Outlook so you can email the contact group instead of induvial emails.

 

Steps

1. Starting at the Outlook Home Page, navigate your way to the bottom of the screen and select People Outlook.com People icon.

2. At the top of the page select the drop-down arrow by New Contact.

3. The drop-down arrow will lead to more options. Select Contact Group.

4. A new page will open giving you different options on how you want to set up your new Contact Group. First, set up the Name that you would like to give the group.

NOTE: This is what you will type into an outgoing email when you want to send to the group. For example, Development Service is a Contact Group that has all of the names in DS.

5. After naming your new Contact Group you now must add the following people you want to add. Navigate your way to Add Members and select the drop-down arrow.

6. You can either enter contacts in manually by choosing New E-mail Contact or use our Address Book that contains all the names in Butte County.

 

7. To add a contact from Butte County, Select Address Book. A new window will pop up and show you all the names in the Address Book. Type the name you want to search at the top and hit the arrow button.

8. Once you have selected the contact you want to add, double click on their name then hit OK at the bottom of the screen.

9. Now you will be directed back to your new contact list with the new member’s name.

10. Now let’s look at how to add a brand-new contact that is not in the Address Book. Select New E-mail Contact.

11. A new pop-up window will appear for you to add a new contact. In the Display name box, type the name of the recipient.

12. In the E-mail address box, type the desired email address you want to add. Select OK when done.

13. Now you will be directed back to your new contact list with the new member’s name.

14. Once you are done adding all the contact information and emails to your new Contact Group, navigate to the top of the page and select Save & Close.

15. Now when you go to send a new email, type in the name of the new Contact Group.
